Cancellation Policy

Overview

This policy explains how cancellations, changes, and refund requests are handled for donations, registrations, and event fees connected to Philippians Outreach CDC Inc.

Donations

Gifts support ministry operations, youth programs, and outreach. Because donations may be used promptly for program needs, they are generally non-refundable. Consider the following:

  • Duplicate charge. If a donation was made twice by mistake, contact the team promptly for review.
  • Input error. If the wrong amount was entered, reach out with the date, amount, and receipt number.
  • Unauthorized use. If you suspect a payment was not authorized, contact your bank and notify the organization.

All requests are reviewed in light of stewardship, donor intent, and applicable regulations. Approved refunds will be issued to the original payment method when possible.

Event or Program Registrations

Some events or workshops may require a fee to cover materials or facilities. Cancellation terms are listed during registration and may vary by event. General guidelines:

  • Seven-day notice or more. Eligible for a full credit toward a future event or a refund of fees paid, excluding non-recoverable costs such as special materials.
  • Less than seven days. Credit toward a future event may be offered when feasible.
  • No-show. Fees are typically non-refundable due to reserved materials and staffing.

Credits must be used within the stated window for the program series. Transfer of a credit to another family may be considered upon request.

Cancellations by the Organization

If an event is postponed or canceled due to facility limits, health guidance, weather, or partner constraints, registrants will be notified by email or text as soon as possible. Options may include:

  • Transfer to a rescheduled date
  • Credit toward a different session
  • Refund of fees paid, excluding amounts already spent on custom materials

Volunteer Scheduling Changes

Volunteer assignments may be adjusted for safety, capacity, or program needs. If you can no longer serve at a scheduled time, please notify the coordinator so a replacement can be arranged.

How to Request a Change

Please include the following details in your message:

  • Full name and contact information
  • Date of donation or event
  • Amount paid and receipt number
  • Reason for cancellation or correction
  • Preferred option, such as a refund or credit

Processing Time

Most requests are reviewed within a reasonable timeframe. If additional information is required, a team member will follow up by email or phone. Bank processing times may affect the date funds appear in your account.

Special Circumstances

The organization understands that emergencies arise. If illness, family needs, or unforeseen hardship affect attendance or giving, please contact the team. Each situation is considered with care, consistent with stewardship duties and applicable law.
